Convert.AI, operated by Convertist, LLC d/b/a Convert.AI (“Convert.AI,” “we,” or “our”), recognizes the importance of your personal privacy. Therefore, we have created this Privacy Policy so that you know how we use and disclose your information when you make it available to us.
The Privacy Policy below discloses our practices regarding information collection and usage for the web site located at convert.ai and our associated software-as-a-service applications (collectively, the “Service”).

Personally Identifiable Information: We collect personally identifiable information that you voluntarily provide to us when you register for an account, subscribe to our Service, or communicate with us. This may include your name, email address, phone number, and payment information.
SaaS Application Data (Voice, Transcripts & Biometrics): When you use our SaaS transcription and content generation tools, we collect and process specific data types required to perform the Service, including:
Audio Recordings: Audio files you upload or record via our integrations (e.g., Zoom, Google Meet).
Voice Data Limitations: While our Service processes voice recordings to generate text (transcripts), we do not use voice data to identify specific individuals for security or authentication purposes (i.e., we do not create “voiceprints” for biometric verification). Our processing is limited to the content of the conversation.
Meeting Transcripts: Text-based transcripts generated from your audio.
Generated Content: Blog posts, social media drafts, and summaries created by our AI.
Non-Personal Or Aggregate Information: When you access our Service, we may automatically collect non-personally identifiable information from you, such as IP host address, web pages viewed, browser type, operating system, referring service, search information, device type, page views, usage and browsing habits on the Service and similar data.
We may also aggregate demographic information collected from our users (such as the number of users in a particular state) in a manner which does not identify any one individual.
We will only use your information as described below, unless you have specifically consented to another type of use:
To Provide the Service: We use your personal information and SaaS Application Data to create accounts, process payments, transcribe meetings, and generate marketing content as requested by you.
Recording Consents: By using the Service to record and transcribe audio, you represent that you have obtained all necessary consents from all meeting participants as required by applicable law (including but not limited to state “two-party consent” laws and Biometric Information Privacy Acts).
AI Processing: We share strictly necessary audio/text data with trusted third-party AI sub-processors (e.g., OpenAI, Deepgram) solely for the purpose of generating transcripts and content. We do not use your data to train public AI models.
Communication: We may use your personally identifiable information to respond to your inquiries or send you emails about our services.
Convert.AI’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not use Google Workspace data (such as Google Meet recordings or Calendar data) for advertising purposes.
We only use this data to provide the specific transcription and content generation features you explicitly request.
We do not allow humans to read this data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes (such as investigating abuse), to comply with applicable law, or for the app’s internal operations and even then only when the data have been aggregated and anonymized.
We retain your personal information and Customer Data (including transcripts and recordings) only for as long as necessary to provide the Service and for legitimate business purposes (such as maintaining your account history, legal compliance, and disaster recovery backups). You may request the permanent deletion of your data from our active systems at any time by emailing [email protected].
We may share your information in the following limited circumstances:
Service Providers: We permit vendors and subcontractors (e.g., payment processors, email platforms, AI providers) to access your information solely to perform services for us. They are not authorized to use the information for their own benefit.
Third-Party Platforms: When you use our Agency Services or integrations to post content or send messages via platforms like LinkedIn or Gmail, data strictly necessary to execute those actions will be transmitted to those platforms. You acknowledge that once data is shared with a third-party platform, it is governed by that platform’s privacy policy.
Legal Requirements: We may disclose information if required by law, legal process, or to investigate suspected fraud or violations of our Terms.
Business Transfers: We may transfer your information in connection with a sale, merger, or change of control of Convert.AI.
Convert.AI allows you to log in using various social network accounts (e.g., LinkedIn, Google), if you so choose. If you choose to make use of this feature, we may access all of your available social network profile information and use it in a way that conforms to this Privacy Policy. We urge you to read the privacy practices of all your social networks so that you know how your personal information may be used.
We use “Cookies” (and similar technologies like web beacons and tags) to customize your visit, facilitate sign-on, and analyze Service usage. You may stop or restrict the placement of cookies on your computer by adjusting your web browser preferences, though this may interfere with some functionality of the Service.
Analytics: We use analytics services (such as Google Analytics) that use cookies to help us analyze how users use the Service. The information generated (including your IP address) is transmitted to analytics providers to compile reports on website activity. You can opt out of Google Analytics at support.google.com/analytics/.
The security of your information is very important to us. We use reasonable physical, electronic, and managerial procedures to safeguard the information we collect (including encryption of sensitive SaaS data). However, due to the inherent open nature of the Internet, we cannot guarantee that information will be completely free from unauthorized access.
While Convert.AI implements strict access controls and contractual prohibitions on data misuse by its personnel and contractors, we cannot guarantee that a rogue actor will not bypass these measures. In the event of unauthorized access by a contractor or employee acting outside the scope of their employment/contract, Convert.AI’s liability shall be limited to the measures outlined in the Limitation of Liability section of our Terms.
You should be aware that information you voluntarily include in a publicly accessible blog, chat room, or social media platform may be viewed and used by others without restrictions. We are unable to control such uses of your information.
We generally do not collect personally identifiable information from children under the age of 18. If we become aware that we have inadvertently collected such information, we will use reasonable efforts to delete it.
Except for “Customer Data” (as defined below), any communication or material you transmit to us by email or otherwise is, and will be treated as, non-confidential and nonproprietary.
Distinction for SaaS Customer Data: Notwithstanding the foregoing, data that you upload, record, or process using the Convert.AI SaaS Application (including audio recordings, meeting transcripts, and generated content) is defined as “Customer Data.” We treat Customer Data as Strictly Confidential. We do not sell Customer Data, nor do we use it for marketing purposes. We only process Customer Data as necessary to provide the Service to you.
Use of this Service is governed by, and subject to, the Terms and Conditions located at convert.ai/terms-of-service/. This Privacy Policy is incorporated into such terms. Your use, or access, of the Service constitutes your agreement to be bound by these provisions.
Our servers are maintained in the United States of America. By using the Service, you freely and specifically give us your consent to export your information to the USA and to store and use it in the USA as specified in this Privacy Policy.
We reserve the right to change this Privacy Policy at any time. If we make material changes to how we use your personally identifiable information, we will post such changes here. Your continued use of the Service following the posting of any changes means you accept such changes.

This Privacy Policy and our legal obligations hereunder are subject to the laws of Delaware, U.S.A., regardless of your location. Any dispute arising from this Policy shall be resolved in accordance with the Dispute Resolution and Arbitration provisions set forth in our Terms of Service.
